New requirements for a contemporary digital planning interface and the desire for additional functions drove the decision to modernize the existing shift scheduling and employee portal based on SP-Expert. The active participation of Vivantes employees and shift planners plays a decisive role in the cooperation with plano. Through their involvement, specific requirements and wishes should be directly taken into account in the design of the shift schedule interface and the employee portal.
Solution
With the migration to the modern plano modules, Vivantes has introduced a user-friendly roster interface, a high-performance interface configuration with monitoring function and a mobile-optimized employee portal (ESS). The important goal of preventing a costly and implementation-intensive change to the database or the shift scheduling program was achieved. With the introduction of myplano (called “VivaPlan” at Vivantes), employees also have the opportunity to view their shifts independently and on the move, apply for vacations, make requests and, in future, also register shift swaps.

Previously, workforce management at the Krefeld and Mönchengladbach theater was done manually using an Excel spreadsheet. This meant that employee scheduling was very time-consuming and prone to errors. In addition, there was no digital interface between the Excel-based planning and the payroll accounting system. In view of these challenges, there was a growing need for a reliable and professional digital solution from a single source that would relieve the planners in particular of their daily work and provide employees with transparent access to their shift schedules.
Solution
With the innovative staff scheduling software from plano WFM, a tailor-made solution was implemented that not only fulfills the legal requirements of the collective agreement for the public sector, but also precisely maps all of the theatre's specific requirements and specifications. By mapping scheduling via calendar information both in the roster and in the mobile shift scheduling app myplano, the plano WFM solution fulfills one of the core objectives for time recording and time management at the Krefeld and Mönchengladbach theater.

After the previous product was not flexible enough to map the requirements, rules and collective agreements of the DRK, the organisation decided to switch to the WFM solution from plano. In particular, the web-based and mobile employee portal was extremely important for the DRK Kreisverband Region Kassel e.V. in order to involve its employees more closely in shift planning and to offer them as much flexibility as possible despite the often stressful shift work system.
