The goal was to transition the non-transparent planning of individual teams across multiple locations into a clear, centralized WFM tool, where employees could simultaneously submit their individual shift preferences.
The focus was on reducing the planning effort for planners while ensuring precise, fair, and automated vacation and shift scheduling.
With the implementation of the plano WFM software for approximately 350 employees, the theater hopes to take an effective step away from error-prone paper-based schedules toward digital interfaces, efficiency, and transparency.
Employee satisfaction is also expected to improve with the myplano app, as printed schedules are replaced by digital duty and shift plans that can be accessed anytime, anywhere, and on any device.
The high complexity of the four planning areas at SUMMACOM, which included varying opening hours, diverse skill requirements, as well as a multitude of employee preferences and temporary workers, presented major difficulties for the planners.
There was a clear need for a modern, web-based solution that would enable quick adjustments, continue to work with existing scheduling and payroll-related data, and involve employees more actively in the planning process.
Monthly planning, last-minute changes, sick leave, and vacation coordination resulted in a high manual workload and limited transparency for employees. Vacation planning presented a recurring challenge: employee requests, coverage arrangements and service requirements had to be coordinated manually — often under pressure. For managers, this meant a constant additional burden in their already demanding day-to-day operations.
